This policy explains how A New Agency World collects, uses and protects personal data across our websites and services.
Version 1.1 · Last updated 24 September 2026
ANAW CommV, referred to in this policy as ANAW, we or us, is committed to protecting personal data. This Privacy Policy explains what personal data we collect, why we collect it, how long we keep it and what rights you have.
We process personal data in accordance with the General Data Protection Regulation (Regulation EU 2016/679) and Belgian data protection law.
This policy applies to the following websites and to any interaction related to them:
Separate terms may apply to specific services. Where that is the case, it is stated in the relevant section below.
Depending on how you interact with us, we may collect:
We do not track your behaviour across our websites, and we do not build profiles of visitors. We do not knowingly collect special categories of personal data, such as data revealing health, religion or political opinions.
We collect personal data when you contact us by email or telephone, when you submit a form on one of our websites, when you subscribe to our newsletter, and when you use our services. Our servers additionally keep standard technical logs of every request, as described in section 3.
We only process personal data where we have a lawful basis to do so:
| Purpose | Legal basis |
|---|---|
| Responding to enquiries | Legitimate interest, or steps prior to entering a contract |
| Providing our services | Performance of a contract |
| Newsletter and marketing | Consent |
| Website security and functionality | Legitimate interest |
| Accounting and legal records | Legal obligation |
Where we rely on consent, you may withdraw that consent at any time. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.
We use personal data to respond to enquiries, to provide and manage our services, to send our newsletter where you have subscribed, to keep our websites secure and working, and to comply with our legal obligations.
We do not use personal data for automated decision making or profiling that produces legal effects or similarly significant effects for you.
If you subscribe to our newsletter, we process your email address and, where provided, your name and organisation. The legal basis is your consent.
Every newsletter contains an unsubscribe link. You may also unsubscribe at any time by writing to contact@anewagencyworld.com. After you unsubscribe we retain a record of your consent and of your withdrawal for one year, so that we can demonstrate that the processing was lawful.
Newsletter delivery provider: our newsletter is sent using a third party email platform. The name of that provider will be stated here once the service is in use, and this policy will be updated accordingly.
We do not sell personal data. We may share personal data with:
Where a third party processes personal data on our behalf, we enter into a data processing agreement that requires them to process the data only on our instructions and to apply appropriate security measures.
We may use aggregated or anonymised data, which can no longer identify you, for business insights and reporting.
Metheris is a data platform operated by ANAW. Personal data processed within Metheris is governed by separate Terms of Service and, where applicable, by a Data Processing Agreement concluded with the client.
For hospitality and events services we may process personal data relating to bookings, travel arrangements and related communications. Additional terms apply per service and are provided at the time of booking.
Our websites load their typefaces from Google Fonts, a service provided by Google. When a page loads, your IP address is transmitted to Google's servers so that the fonts can be delivered. No cookies are set in the process and no account information is exchanged. Google may process that request outside the European Economic Area, including in the United States.
Where personal data is transferred outside the EEA, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses or an adequacy decision. You may request a copy of the safeguards that apply by writing to contact@anewagencyworld.com.
We keep personal data only for as long as necessary for the purpose for which it was collected:
| Data | Retention period |
|---|---|
| Contact form and email enquiries | Two years after our last contact with you |
| Newsletter subscriptions | Until you unsubscribe, then one year as proof of consent |
| Server logs | Up to three months |
| Client records and contracts | For the duration of the relationship, then ten years |
| Accounting records | Seven years, as required by Belgian law |
After these periods the data is deleted or anonymised.
Our websites currently place no cookies that require your consent. We use no analytics, no advertising technology, no social media pixels and no tracking of any kind. That is why you are not asked to accept or refuse cookies when you arrive.
A small number of strictly necessary cookies may be set to keep the website working, for example to process a form submission securely. These are exempt from the consent requirement because the site cannot function properly without them.
We may decide to add website statistics in the future, so that we can understand which pages are useful to our visitors. Should we do so, a consent banner will appear before any such cookie is placed, refusing will be as easy as accepting, and this policy will be updated first.
You can manage or delete cookies at any time through your browser settings.
We implement appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. These include encrypted connections, restricted access to systems and regular updates.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a data breach occurs that is likely to result in a high risk to your rights, we will inform you and the supervisory authority as required by law.
Under the GDPR you have the following rights:
To exercise any of these rights, write to contact@anewagencyworld.com. We respond within one month. We may ask you to confirm your identity before acting on a request.
If you believe we have not handled your personal data correctly, please contact us first so that we can try to resolve the matter.
You also have the right to lodge a complaint with the Belgian Data Protection Authority:
